About the Role
We’re hiring an Operations & Admin Coordinator to work directly with our senior leadership team and help drive the day-to-day execution of our fast growing company.
This role is designed for an organized, detail-oriented professional who wants to take real ownership of the administrative backbone of a fast-growing company. You’ll work across grants management, purchasing, shipping coordination, procedure development, and general business administration. You keep the engine running so the rest of the team can focus on growth.

How This Role Actually Works
This is not a passive support role. You won’t be waiting around for perfectly defined tasks or detailed instructions.
In this role, you’ll be expected to:
Take ownership of workstreams and see them through end to end
Follow up, close loops, and keep things moving without being prompted
Ask good questions, learn quickly, and apply what you learn
Balance multiple priorities and make smart tradeoffs as things move fast

What You’ll Do
You’ll be the operational and administrative core of the business: owning key functions end-to-end, with real accountability for outcomes.
Grants & Funding
Own grant applications end-to-end, from identifying opportunities through drafting and submission
Manage awarded grants including timelines, reimbursement claims, documentation, and compliance reporting
Coordinate with program officers, consultants, and internal team members to keep grant deliverables on track
Business & Admin Execution
Handle financial admin tasks including invoicing, purchase orders, expense tracking, and documentation
Keep internal systems, documents, and processes organized and up to date
Take on ad hoc projects that help unblock the team and keep the business moving
Purchasing & Shipping
Issue and manage purchase orders, track approvals, and maintain accurate procurement records
Coordinate inbound and outbound shipments, including freight bookings, customs documentation, and carrier coordination
Follow up with suppliers and logistics partners to ensure on-time delivery and resolve issues proactively
Procedure Development
Document and standardize internal processes to create repeatable, scalable workflows
Identify gaps in how we operate and propose practical improvements
Build and maintain Standard Operating Procedures (SOPs) that help the team operate consistently as we scale

Education & Background
You have completed (or are about to complete) post-secondary education
We value diverse educational backgrounds - the most important thing is that you’ve shown commitment, follow-through, and the ability to learn. A background in business administration, operations, finance, or a related field may be helpful, but it is not required.

Work Setup
Hybrid role (office and home)
Expectation to be in the office three days a week
Office location: Vancouver (Mount Pleasant)
Compensation
Compensation: $55,000 - $65,000, negotiable based on experience and fit
